About the Role
We're hiring a Talent Acquisition Coordinator to support a seamless, efficient, and high-quality hiring experience across Nscale.
This is a 3-6 month fixed-term contract.
In this role, you will sit at the heart of interview coordination and hiring operations, working closely with recruiters, hiring managers, interviewers, candidates, and cross-functional stakeholders to keep recruitment processes moving accurately and on time. You'll be responsible for coordinating complex scheduling, maintaining clean and reliable ATS data, and ensuring each stage of the candidate journey is well organised and professionally managed.
This role is important because it helps create a strong candidate experience, enables hiring teams to make timely decisions, and ensures recruitment operations run smoothly as the business grows globally. You'll also help improve efficiency through process discipline, reporting support, and strong operational execution.
We've recently implemented Greenhouse, MetaView, and GoodTime to enhance our hiring operations, so you'll be collaborating with modern, integrated tools from day one.
What you'll be doing
- Own end-to-end interview scheduling across EMEA, AMER, and APAC, managing changes quickly and with minimal disruption.
- Coordinate interviews across multiple time zones, balancing interviewer availability, candidate preferences, and hiring timelines.
- Use Greenhouse to post roles, move candidates through stages, launch interview kits and offers as directed, and maintain accurate data.
- Prepare interviewers with the information they need, including briefs, scorecards, and agendas, to support effective and consistent interviews.
- Drive timely scorecard completion and follow up with stakeholders to keep hiring processes on track.
- Post jobs to the careers site and relevant job boards in line with hiring needs.
- Manage referrals and support strong pipeline hygiene across open roles.
- Maintain accurate candidate and job data within the ATS to support reporting, visibility, and process consistency.
- Produce weekly snapshots on metrics such as time-to-schedule, scorecard SLAs, and pipeline health.
- Identify coordination bottlenecks and suggest practical process improvements to increase speed and efficiency.
- Communicate clearly with candidates and internal stakeholders throughout the interview process.
- Support a high-quality candidate experience by ensuring interviews are well organised, timely, and professionally run.
About You
- Minimum 3 years’ experience in recruiting coordination or talent acquisition operations
- Hands-on experience with Greenhouse ATS, including job posting, candidate stage management, scorecards, and basic reporting
- Proven ability to coordinate complex interview scheduling across multiple time zones
- Strong proficiency with scheduling and collaboration tools such as Google Calendar, Google Meet, Zoom, or Calendly
- Excellent organisational skills with a highly detail-oriented and deadline-driven approach to work
- Confidence working with Google Sheets or Excel for tracking, reporting, and operational support
- Clear communication skills with the ability to engage professionally with candidates, interviewers, and hiring stakeholders
- Strong follow-through and a proactive mindset in managing moving parts and resolving scheduling issues
- Comfort handling sensitive candidate and employee data with discretion and care
- Solid understanding of GDPR best practices and confidentiality requirements in recruitment processes
- Ability to maintain accuracy and composure in a fast-paced, high-volume hiring environment
- Exposure to tools such as Metaview, GoodTime, Zinc, or an HRIS such as Workday is a plus
